What you can do
Place the port decision in context
A port assignment links a device, port number and VLAN to a parent work order. It also records a quantity, lot, revision and expiry date. The work order gives the assignment an owner, site and review path. Held Port Assignments makes pending assignments easy to inspect before anyone treats them as settled work.
The team should identify a device consistently. A device name entered differently on two assignments can make the same physical port look unrelated. The port number and VLAN are explicit fields, so a supervisor can review them alongside the proposed job rather than searching a free-text subject.
How the work is organized
- Hold. Inventory Clerk records the intended port and VLAN with the work order and expiry.
- Decide. Inventory Supervisor reviews the current parent revision and the decision outcome.
- Release. Correcting or cancelling authorized scope releases held assignments tied to that work.
An assignment is not an isolated port registry. The parent and stock lot references matter. The record’s held, released, consumed and expired states describe the assignment’s own lifecycle. A work order may have a separate draft, review, approved, executed, rejected or canceled state. Keeping these states distinct helps the clerk explain why a held assignment is still visible when the parent has moved to review.
What to agree during setup
Choose a device naming rule and a VLAN label convention that people use on every work order. Decide who checks a lot reference and the expiry time before a held assignment is submitted. If several teams share a site, agree which organization owns the assignment and who corrects a mistaken device or port number.
Review the quantity meaning with the supervisor. The assignment quantity must be compared with the scope of its parent work order and the stock lot it references. It should not silently become a different unit from the requested work. Decide how much time the team needs to act before an assignment expires and how a clerk will revisit one near expiry.
Check the handoff on an actual case
For a planned asset task, create a held assignment with the chosen device, port number, VLAN, lot and expiry. Open Held Port Assignments and verify that a colleague can identify the parent work order and the assigned port. The supervisor then examines the current parent revision, records a decision and checks the matching operation receipt.
Now revise the work order’s authorized quantity or cancel the task. Confirm the held assignment is released as part of that correction. Keep the original assignment number and decision history available for an auditor. A second attempt with an old revision should not overwrite the more recent decision; the team should return to the current parent record before acting.

What it keeps track of
Data model- Port assignments
- Port assignment records raised against a parent work order, with status, revision and expiry.
- Work orders
- Planned and executed asset work; the parent record for evidence, port assignments, decisions and receipts.
- Stock lots
- Lot or serial level inventory held at a storage location.
- Review decisions
- Approved, rejected, returned or escalated decisions on source records.
- Operation receipts
- Recorded, verified, failed or corrected operation evidence.
Who uses it
