What you can do
Give each decision its source
A review decision records the parent work order, reviewer, source revision, outcome, date and reason. The supervisor can approve, reject, return or escalate a request. Those are decision outcomes, while the work order carries its own status. Keeping both records lets the operating team understand what was decided and what happened to the source record.
Open Work Orders shows the review status beside each current work order. Returned and Escalated Decisions shows cases that require another look. Operations Overview places escalated reviews beside late work and failed operation receipts, so a decision does not disappear after a status change.
How the work is organized
- Prepare. Inventory Clerk supplies the current scope and linked assignment or attachment.
- Decide. Inventory Supervisor examines the source revision and records a reasoned outcome.
- Trace. The matching operation receipt records what the decision action did to the work order.
The port assignment approval workflow checks that the work order has not already executed or been canceled. It also checks the expected revision. On approval, the work order moves to its approved state with a new revision, and the decision and receipt are recorded. A repeated action with the same operation key returns its earlier decision instead of creating a second one.
What to agree during setup
Decide who may act as the authorized reviewer and what evidence the reviewer expects for a port assignment. Define how the team uses Returned versus Escalated. A returned request might need the clerk to revise scope; an escalation needs a named supervisor to examine the reason. The app records those outcomes, and the organization must assign the people who will respond.
Ask reviewers to check the current work order revision immediately before deciding. A message or screenshot of an earlier version is not enough when the owner has changed quantity, item or location. Record the reason in the decision itself so the clerk and auditor can read the same explanation later.
Check the handoff on an actual case
Submit a work order for review with a held port assignment. Have the supervisor open Open Work Orders and compare the assignment with the work order’s current quantity and revision. Approve it and inspect the Review Decisions Register and Operation Receipts Register. The decision should point to the same parent and source revision.
Next, attempt to decide from an older revision. The workflow should refuse the stale action. Repeat the original operation key and confirm it returns the established decision. Try a canceled work order and confirm it cannot be approved. These checks protect the record when a reviewer has several browser tabs open or a request is delivered twice.
