What you can do

Keep authority and money legible

The Clinical Governance Administrator maintains clinician privileges and care-team assignments. A privilege record names its type, license number, issuing authority, supporting evidence, effective dates and status. A person can have a pending privilege record without it being verified. The administrator should check the evidence and dates before updating its state. Clinical staff need to know which clinician is attached to a patient, while the governance role maintains the basis for that access.

Consent records name the patient, purpose, version, signature time, expiry and document. A signed consent serves a specific purpose; a pending, withdrawn or expired one calls for review before that purpose is used. The care team should agree how consent status on the patient relates to the individual consent documents so that the quick intake signal and the detailed record tell a coherent story.

How the work is organized

  • Professional authority. Record the privilege type and verification evidence for the clinician.
  • Patient authority. Keep purpose-specific consent and care-team access assignments traceable.
  • Financial record. Attach a service charge to its encounter and record patient payment separately.

Charges carry a service description, amount and state. A draft can be reviewed and approved before invoicing. Payments record an amount, receipt time, reference and status against the patient. Since those are separate records, the clinic should reconcile them through its operating process and any billing connection it uses. A confirmed payment should not be assumed to settle a particular charge without that reconciliation.

What to agree during setup

Decide who verifies clinician privileges and how soon expiring evidence is reviewed. Agree who can approve charges and what service description is needed for a meaningful check. Set the clinic’s payment reference convention and the procedure for refunds. If an external billing or payment system is used, agree which system is authoritative for invoice and settlement events.

The Clinical Coordinator can enter charges and view payments. The Clinical Governance Administrator maintains privileges and care-team assignments. Keep those responsibilities separate when reviewing a representative visit. A reviewer can inspect care evidence without gaining edit rights over it.

Check the handoff on an actual case

A new clinician is assigned to a patient. The administrator reviews their privilege evidence, effective period and status, then records the care-team assignment and its access purpose. During the patient’s encounter, the coordinator enters a charge for the documented service. The charge remains a draft until the responsible person checks its description and amount and approves it. A later confirmed patient payment is recorded with its reference and receipt time.

If the privilege expires or consent is withdrawn, the visible state prompts the team to review subsequent care and access. Neither an old verified privilege nor an old signature should stand in for the current status.

What your team sees

  • Privileges pending verification — Review evidence, dates and clinicians before changing privilege status.
  • Charges awaiting approval — Check encounter, service and amount before approval.
  • Payment register — Read received amounts and payment states by patient.
