What you can do
Make the decision traceable
Order Reviewer works from the selected customer order and its revision. A review decision records the outcome, decision date, rationale, owner and source order. Its revision identifies the exact order state examined. Confirmation opens a review decision, and the return eligibility workflow can write an Approved or Returned decision. Shipped-order correction creates an Escalated decision rather than erasing evidence of a completed shipping action.
Operation receipts record an executed action with a source order, owner, event, recorded date, quantity or amount when relevant, and status. The receipt can be Recorded, Verified, Failed or Corrected. Order attachments connect a named document or link to the same source order and organization. Together, these records let Operations Manager explain what happened and why without relying on a mutable order status alone.
How the work is organized
- Review decision. Outcome, rationale and revision identify the decision that applied to a particular order state.
- Operation receipt. The source record and status distinguish a recorded action from verification, failure or correction.
- Supporting attachment. The linked order carries its document name, type and upload date for staff who need the evidence.
What to agree during setup
Define who may prepare a decision and who is authorized to make the final call. Keep the reviewer distinct from the person who changed the order where the business needs independent review. Agree the rationale expected for Approved, Rejected, Returned and Escalated outcomes. For attachments, decide which document source is authoritative and who may see sensitive customer evidence.
Agree how a failed receipt is investigated and when a corrected receipt is appropriate. A later correction should not hide the earlier result. The operations team should use order numbers and source references consistently so an auditor or customer service lead can follow the sequence from confirmation through shipping and reconciliation. Decide retention and access policy for documents before accepting live orders.
Check the handoff on an actual case
Select an order confirmed on a new revision. Follow its receipt to the review decision and read the rationale. Allocate and ship the approved device lines, then follow each event and the shipping receipt back to the same order. Run reconciliation; a Verified receipt should show the completion check. For a discrepancy, inspect the Failed receipt and related warranty check.
Now request a correction after shipping. The existing Shipped event should remain in the record. The new Escalated decision and compensating receipt should explain the next action. Order Reviewer and Operations Manager can inspect both the original event and the workflow-created decision, with attachments available for context.
