What you can do

Compare the evidence before signoff

Delivery Coordinator reconciles an order against its lines, freight shipments, payments and existing receipts. The reconciliation workflow writes a verified receipt when the records match. On a discrepancy, it writes a failed receipt. A freight mismatch also opens a damage and delivery exception. An approved order can move to delivered only when the checks pass. This gives the team a recorded result to inspect after the freight work.

Delivery receipts hold a number, summary, status, date, units received, amount billed, region, signoff coordinator and parent order. The receipt can refer to a delivery event. Signed paperwork and delivery photos are kept as order documents, linked to the same order and region. These records help the team compare what was shipped, what was received and what was billed.

How the work is organized

  • Receipt evidence. Keep the signed record and its status attached to the order, with units and billed amount when available.
  • Exception ownership. Assign an open claim, address issue, late delivery or stock shortage to a coordinator.
  • Reconciliation. Compare operational and payment evidence, then retain the verified or failed receipt from the run.

What to agree during setup

Decide which event constitutes delivery confirmation for your operation. The dispatch workflow can advance an approved order to delivered at release, while reconciliation checks the supporting evidence. Teams should review both paths during setup and tell coordinators when a verified receipt is required for their completion decision. Agree what document types are required for a freight damage claim and who can close a case after resolution.

An exception carries its type, status, raised date, detail, assigned coordinator and optional resolution. Use the status to keep investigation visible. Payment holds and address issues can affect the same order as freight damage, but they need different evidence. A reviewer may record a separate decision for a damage claim; that decision does not itself issue a refund.

Check the handoff on an actual case

Take a dining table shipment with fewer units received than handled in freight. Record the signed receipt and a delivery photo on the order. Run reconciliation. The team should find a failed receipt and an open exception linked to that order, with the mismatch available for investigation. Assign Delivery Coordinator to inspect the freight event and receipt. If damage is confirmed, add the claim detail and supporting photo, then have Fulfillment Reviewer record a reasoned decision. Finance Operator handles any payment record that follows.

For a matching case, confirm that the receipt is verified and the order’s completion state agrees with the evidence. The records should allow a later reviewer to reconstruct the case without a separate spreadsheet.
