What you can do

Put the decision beside the order

Order review is a recorded step, not a verbal release. Confirmation moves a draft order into review, updates its value and revision, and opens a review item. Fulfillment Reviewer examines the order lines and any damage or delivery exceptions. The decision record keeps the subject, outcome, date, reviewer, revision and rationale tied to the order. A delivery receipt is written for the review run as well.

The review workflow can approve or return a case. Approval advances the order when checks pass. A returned decision records the reason for the coordinator to address. The reviewer should describe the issue clearly enough that the coordinator can act on it: a mismatched quantity, uncertain consignee address or unresolved damage evidence. The reviewer checks earlier decisions before acting on the same case again.

How the work is organized

  • Review intake. A confirmed order appears under review with its current revision and computed value.
  • Evidence check. Read lines, freight activity, delivery receipts, documents and linked exceptions before deciding.
  • Decision trail. Record the outcome and rationale against the exact order revision so later corrections have context.

What to agree during setup

Choose who may prepare an order and who may make its fulfillment decision. Define the evidence required for ordinary furniture orders and for damage claims. The reviewer and coordinator should agree what a returned decision means operationally: who corrects the order, how the revision changes and when another review is requested. Access to the rationale should follow the team’s permissions because it may include sensitive customer and claim details.

The allocation workflow can also approve a parent order while creating freight events. Include that path in the review of your operating procedure. A team’s approval policy should cover both order review and allocation so a shipment does not advance under an unclear authority. The receipt and decision records give the team evidence to inspect at the handoff.

Check the handoff on an actual case

Use a bed order whose requested delivery date is close and whose consignee reports a changed address. Confirm the order, then open an address exception. The reviewer examines the buyer, consignee, lines and exception detail. Record a returned decision with a reason while the coordinator corrects the address. On a clean case, record an approved decision and check that the order is approved and the review receipt exists. Check the prior decision before requesting another review of the same case.

For a claim after dispatch, the reviewer should read the delivery photo or signed paperwork linked to the order and record a claim decision with rationale. Keep the decision distinct from a payment refund entry.
