What you can do

Start with the order in its store

An Order Coordinator opens a grocery order for a named shopper and store. The delivery recipient can be different from the shopper, so the team checks both people before promising a delivery. The order date and promised date give store operations a way to distinguish an older open request from one that needs attention today. The order owner remains visible while the work moves from capture to review and fulfillment.

How the work is organized

  • Header. Keep the store, shopper, recipient, ordering channel, owner and requested units together on the order.
  • Basket. Each line identifies a store SKU, ordered quantity, unit price and whether a substitution is allowed for that line.
  • Confirmation. Confirming a draft calculates the order total from its lines, moves it to Awaiting Review and records a receipt for the operation.

The line is the useful unit when a shopper asks which item changed. A basket with produce and shelf goods may carry different substitution consent on each line. The coordinator checks the shopper preference note alongside the line and SKU flags, then records the actual choice in the order evidence as appropriate. A broad shopper preference should never silently override a line that disallows substitution.

What to agree during setup

Store Operations Manager decides which associates own orders for each store and who can submit them for review. Agree how staff will enter ordering channel and promised date, because those values guide worklists but do not themselves reserve stock or schedule a driver. Also agree when a changed basket becomes a new order revision and what supporting documents the team will attach for substitutions or delivery questions.

The catalog price on a SKU and the unit price recorded on a basket line are separate evidence. A price update to a store SKU should not rewrite an earlier order. Order Coordinator checks quantities and prices before confirmation, and Order Reviewer checks the current revision rather than relying on a prior decision.

Check the handoff on an actual case

A shopper requests produce and pantry items from one store, with a separate delivery recipient. Order Coordinator creates a draft with two basket lines, enters each requested quantity and unit price, and checks the produce substitution setting. The coordinator confirms the draft. The order is now Awaiting Review with a calculated total and a recorded fulfillment receipt. Order Reviewer can see the basket, shopper, recipient and current revision before making a decision.

If the shopper calls with a changed quantity before review, the coordinator checks the current revision and records the requested change. The team cancels the uncompleted scope before capturing revised terms for review. If an order is already Completed, the correction route records an escalation decision and receipt; it does not quietly restore an earlier status.
