What you can do
Make the decision visible
A confirmed grocery order enters the review queue. Order Reviewer examines the order, its basket lines and any fulfillment exceptions before making a decision. The decision record keeps the outcome, rationale, deciding associate and revision. A fulfillment receipt records the review operation, giving Store Operations Manager another point of reference when tracing what happened.
How the work is organized
- Review queue. Grocery Orders Awaiting Review isolates confirmed orders that need a decision.
- Decision record. The reviewer records approval or return with a rationale against the order’s current revision.
- Operation evidence. A fulfillment receipt links the review action to the order, store and recording associate.
The revision is important when a shopper changes quantities or a store changes the basket. A decision on an older revision should not stand in for review of different terms. The review workflow skips a duplicate decision for the same order revision. This gives the team a clear record of which terms were considered and prevents repeated manual runs from producing another decision for unchanged scope.
What to agree during setup
Store Operations Manager names the reviewers for each store and agrees what evidence they must inspect. For a short basket, the reviewer may check the price, quantity, shopper and promised date directly. For a substitution or delivery problem, the reviewer also reads the exception detail and supporting document. Agree what belongs in the rationale, particularly when the decision is Returned and the order coordinator must correct the basket.
Review authority should be separate from routine order entry. An Order Coordinator can prepare the order, while Order Reviewer makes the decision on the current revision. The app retains the deciding associate; the business must assign people and test access for its chosen separation.
Check the handoff on an actual case
An order for fresh produce is confirmed and appears in Grocery Orders Awaiting Review. A shortage exception was raised for one line. Order Reviewer opens the order, compares the line’s substitution consent with the shopper’s preference note and reads the exception. If the replacement is not authorized, the reviewer records Returned with a clear rationale. Customer Service Associate can explain the needed change to the shopper. Order Coordinator checks the existing authorization and cancels uncompleted scope before capturing revised terms for review.
If the evidence supports the order, Order Reviewer records Approved. The order moves to Approved and becomes eligible for the fulfillment release. The reviewer can trace the decision and receipt to the order and store. A later change to the order needs its own current-revision review rather than relying on the earlier approval.
