What you can do

Read the evidence behind the outcome

An order can collect tender evidence, documents and fulfillment receipts as it moves through capture, review and release. These records answer different questions. Tender evidence identifies method, amount, verification and payment state. Order documents hold attachments or links such as substitution notes and delivery proof. Fulfillment receipts show that an operation was recorded and who recorded it.

How the work is organized

  • Tender evidence. The record holds the order, method, amount, reference, captured time, verification flag and state.
  • Order documents. A named document stays linked to its order and store with its type, URL and upload time.
  • Operation receipts. Each receipt identifies the order, store, subject, state, recording associate and time.

These records should be read together but not confused. A captured tender is a payment evidence state; it is not by itself a fulfillment event. A recorded receipt is operational evidence; it is not by itself proof that a delivery reached the recipient. A document URL points to supporting material, while the order and event trail provide the structured operational facts.

What to agree during setup

Store Operations Manager and Customer Service Associate decide which tender methods the team accepts and how a reference from the payment provider is verified. The table supports card, bank methods, store credit, check and EBT SNAP evidence. Processing and settlement belong to the connected payment system. The team should decide who records evidence and who checks the amount against the order total.

Agree naming and access for substitution notes and delivery proof. Customer Service Associate may need to find a document quickly while handling a shopper question, but a reviewer should see the same current order evidence before deciding. Define how failed or corrected receipts are investigated. Keep the original receipt visible so a correction explains the earlier result rather than erasing it.

Check the handoff on an actual case

A shopper places an order paid partly by store credit. Customer Service Associate records the tender method, amount and reference against the order, then checks the verification state with Store Operations Manager. Order Coordinator attaches the shopper’s substitution note. After confirmation, a fulfillment receipt records the operation. Order Reviewer reads the current basket, note and any exception before approving the order.

After release, Fulfillment Associate records the delivery event and attaches supporting proof if available. If an operation receipt is marked Failed or Corrected, Store Operations Manager opens that receipt and checks the order’s decision, event and exception history. The team can explain which action happened and which evidence supports the current outcome.

What your team sees

  • Captured Tender Evidence — Captured payment records by order, method, amount and verification state.
  • Failed or Corrected Fulfillment Receipts — Operation results that need investigation.
  • Completed Grocery Orders — The completed order book that anchors the related evidence.
