What you can do
Keep interruptions tied to the order
An order exception names its order, type, owner, date, detail and resolution. The type distinguishes stock shortages, address issues, payment holds, damaged items, late shipments, compliance issues and other cases. Status shows whether the case is Open, Investigating, Resolved, Escalated or Closed. This gives Order Operations Manager a queue that can be worked without losing the original order context.
A separate channel handoff records the order and the external channel. Its status moves through Draft, Submitted, Approved, Rejected or Completed. The external order ID can connect the internal order to the channel’s own record. Keep the handoff visible when a customer asks which team has the order.
How the work is organized
- Identify. An owner records the exception type, detail and affected order as soon as a problem is known.
- Resolve. The team investigates the issue, records its resolution and follows the status to closure.
- Handoff. Operations records the external channel and its reference separately from the order’s own status.
What to agree during setup
Assign an owner for each exception type. A stock shortage should reach the fulfillment team; a payment hold should reach Finance Reviewer. Agree what evidence must be recorded before moving an exception to Resolved or Closed. A status change alone is less useful than the resolution explaining what was done.
For channel handoffs, agree when the channel takes responsibility and when the internal team expects confirmation. The handoff’s Approved status is a handoff state; the order’s Approved status comes from its own review decision. Train users to read these independently. Choose a naming convention for channel and external order ID so a later search finds the right partner record.
Check the handoff on an actual case
Start with an Approved order whose address needs correction. Create an Address Issue exception with an owner and detail. Have the owner investigate the customer address, record the resolution and update the exception status. The order and its review decision remain available throughout the correction.
Then record a channel handoff for the same order. Put the channel reference on the handoff, submit it and check its progress. If the channel rejects it, the internal owner should be able to see that Rejected handoff alongside the order and open exception. Correct the issue through the proper order process and keep the rejected attempt as evidence.
For an already Executed order, correction uses an escalation decision and a compensating processing receipt instead of reversing the executed evidence. Review those records with the original order before deciding what the external channel needs to receive.
What your team sees
- Open Order Exceptions — Operations assigns and works unresolved issues by order.
- Returned or Rejected Review Decisions — The order desk sees decisions requiring correction.
- Failed or Corrected Order Receipts — The team traces attempts to correct or reconcile an order.
