What you can do
Put the customer request in one place
Order Desk Agent starts with the customer and the products requested. The order carries its owner, organization, date, requested delivery date and channel. Each line identifies a product, ordered units and the agreed net unit price. The team can read the order subject and the line detail together before anyone makes a review decision.
A customer may also have a counterparty on the order. Agree what that relationship means in your business before the first import. Keep the customer identity stable even when a channel supplies a different external order number. The channel handoff has its own record, so a channel reference can be traced to the internal order.
How the work is organized
- Capture. Order Desk Agent enters an order as Draft and adds product lines with quantities and prices.
- Confirm. Confirmation calculates the net amount from the lines, advances the revision and places the order in Review.
- Trace. The order stays linked to its lines, review decision, fulfillment events and processing receipts.
What to agree during setup
Decide who owns an order when it arrives from each channel. Set a convention for order numbers and line numbers, and agree whether the required date is a customer promise or an internal target. Prepare active customer and product records before bringing in open orders. Check the product unit of measure so quantities on lines and fulfillment events can be compared meaningfully.
A confirmed order opens a review decision for its current revision. A later correction must not silently replace the reviewed version. Ask Order Reviewer to inspect the customer, requested items, amounts and any open exceptions. If the request changes, return it for correction and repeat review against the new revision.
Check the handoff on an actual case
Take an order for a customer with two product lines. Enter the units and net unit price on each line, then confirm. Check that the order moves from Draft to Review, the amount reflects both lines and a processing receipt records confirmation. Open the review queue and verify that the reviewer sees this order and its current revision.
Now change the requested quantity before approval. Confirm how your team will capture the correction and review the revised request. The earlier receipt and decision should remain understandable as evidence of what happened at the earlier revision. Do not treat a view of the current order alone as a complete audit trail.
What your team sees
- Orders Awaiting Review — The order desk and reviewer find confirmed orders needing a decision.
- My Customer Orders — An owner can return to the orders assigned to that person.
- Order Status Board — The team can scan Draft, Review and Approved work without losing each order’s owner.
