What you can do

Trace the instruction to the account

A disbursement records an amount and debit or credit direction against both a loan application and a loan account. The account belongs to a borrower and has a provider identity, external account identifier and currency. These links let the lending team distinguish a confirmed instruction from the account movement recorded for it. The Credit Officer should use the account associated with the borrower named on the application.

Dated repayment schedule rows carry ledger and available figures alongside a provider snapshot identifier. They give the servicing team an account timeline to compare with provider receipts. The figures do not replace confirmation of the original instruction. A provider event can be present while an account snapshot still reflects an earlier date; the reviewer needs to compare the timing before explaining a difference.

How the work is organized

  • Instruction identity. The application keeps the provider instruction reference, value date and confirmed time.
  • Account movement. Each disbursement names the instruction, account, amount and direction, keeping the effect traceable.
  • Provider snapshots. Dated account rows preserve the ledger and available figures that servicing uses in reconciliation.

What to agree during setup

Confirm which provider account belongs to each borrower and how the external identifier is sourced. Agree how an instruction’s value date maps to an account movement. Credit and debit directions should have a documented business meaning for the provider’s records. A reversal or correction must be linked to the original evidence and reviewed rather than silently overwriting a previously verified amount.

Decide when the provider’s dated figures arrive and who checks the snapshot identifier. The account currency and organization currency may differ. Amounts on applications, disbursements and repayment receipts are in US dollars, so the team should agree how an external currency conversion is handled and recorded. Exchange rates are a reference; the provider’s actual confirmation remains the authority for the movement.

Check the handoff on an actual case

A borrower has an active loan account with a known provider identifier. An application for that borrower passes review and is submitted to the provider. The Credit Officer records the provider instruction reference. Once confirmation evidence is verified, the account movement can be linked to the confirmed application and account. The disbursement shows the amount and direction; a reviewer can check it against the provider event.

Later, the servicing team receives a dated account snapshot. They compare its ledger and available figures with the preceding snapshot and with the confirmed movement. If the amount is unexpectedly different, the Independent Credit Approver inspects the provider event and operation receipt before calling the case complete. The original instruction, account and snapshot identifiers remain visible to the Auditor for a later review.

What your team sees

  • Active loan accounts — Borrower-owned provider accounts in current service.
  • Confirmed applications — Verified instructions ready to trace into account records.
  • Receipts needing review — Effects whose local and provider references need attention.
