What you can do
Give the dock a shared operating picture
A load records its number, carrier and status. Dock door, seal number and arrival time add details as the load moves through the warehouse. Staff can use Scheduled, Arrived, Unloading, Loaded, Departed and Cancelled to make the current stage visible. Each load stop adds a sequence, appointment time, location and its own status. The stop can move through Planned, Confirmed, Arrived, Completed or Missed independently of the load header.
Inventory Clerk maintains loads and stops alongside handling units and requests. The load is a scheduling and carrier record; the stock request and movement establish inventory effects. Staff checking a pallet at a dock can use its current custody status and location while the load record supplies the dock context. A stop’s location references the same storage-location map used for lots and custody.
How the work is organized
- Name the load. Capture a load number and carrier before staff prepare its dock work.
- Sequence stops. Put appointments in the order the load is expected to visit locations.
- Update the floor state. Record arrival, loading and departure when each actually happens.
What to agree during setup
Agree how load numbers are assigned and whether carriers provide their own references. Decide when a dock door becomes authoritative and who checks the seal number. Map the storage locations used for dock and yard operations before adding stops. The appointment time and sequence should be meaningful to the people who stage handling units; a stop placed at the wrong location sends the floor to the wrong part of the site.
Decide who records Missed appointments and what evidence the team needs for a later discussion. A missed stop remains a stop record. Agree when a load is considered Loaded versus Departed, and keep that distinction consistent with pallet custody status. Train the clerk to update both records from the physical event rather than assuming a load status will change the unit automatically.
Check the handoff on an actual case
A carrier has load LD-84 arriving at the south dock. The clerk records the carrier, load number and Scheduled status, then adds a Confirmed stop with its appointment time and storage location. A pallet is Staged in the linked location. When the carrier arrives, staff record Arrived on the load and stop. The clerk checks the pallet code, item and quantity against its linked stock request before marking the handling unit Loaded.
The load record then captures dock door and seal number. After physical departure, staff mark the load Departed. The inventory effect is still traced through the approved request and its Posted movement. If the appointment is missed, staff mark the stop Missed and check any stock request for the affected pallet separately.
