What you can do

Start with stock that can actually be used

Stock items define an SKU, base unit, category, tracking mode, unit cost, reorder point and safety stock. Lots carry the item’s on-hand quantity at a storage location, receipt date, optional expiry and status. Inventory Clerk reads the lot before promising units to a request. A positive balance alone is not free eligible inventory: held reservations reduce the quantity available for another request.

The reservation action checks eligible lot stock at request time. It cannot hold more than on-hand balance after active Held reservations. A successful hold creates a reservation and recorded operation receipt. If requested quantity is too large, the action writes a Failed receipt with the shortfall. The request remains available for a corrected lot or quantity.

How the work is organized

  • Keep item identity stable. Staff select an item using its SKU and tracking mode.
  • Check the lot. Quantity, storage location and status identify the stock under review.
  • Account for existing holds. Free eligible stock is on-hand quantity less active Held reservations.

What to agree during setup

Agree which items need Lot or Serial tracking and make sure their base unit matches how warehouse staff count them. Load current lots by item and storage location, including status and received date. Decide who maintains item master records and who confirms opening lot quantities. Set the meaning of Quarantined, Expired, Consumed and Blocked for the floor so staff do not use those lots as available stock.

Choose a lot-code convention that survives relabeling on a pallet. Review location eligibility notes before the first reservation. Reorder points and safety stock are item settings that help staff see expected buffer levels; they do not replace a current lot availability check. Decide how the supervisor handles a failed reservation receipt and whether a different lot, smaller quantity or request correction is appropriate.

Check the handoff on an actual case

A request needs 30 units of a tracked item. Its chosen lot has 40 on hand, but another request already holds 15. The clerk tries to reserve 30. Only 25 are free; the reservation is refused and a Failed operation receipt records the shortfall. The clerk and supervisor inspect Available Lots and Held Reservations. They can select another eligible lot or correct the request scope before trying again.

When a request is cancelled, held reservations are released so quantity is free for later work. When an approved request executes, a posted signed movement updates the lot balance. A reversal posts a compensating movement and corrects that balance while retaining the original entry for the auditor.

What your team sees

  • Available Lots — Check lot balance, item, location and expiry before a hold.
  • Held Reservations — See quantities already claimed by requests.
  • Active Stock Items — Find SKU, base unit and tracking mode used on the floor.
