What you can do

Separate a hold from a posted change

A reservation holds eligible lot quantity for a stock request. It carries a reservation number, lot, request, quantity, expiry, revision and status. Held stock is already claimed even though it remains in the lot’s on-hand balance. A posted movement is the separate event that changes on-hand quantity. It records signed quantity, item, lot, location, owner, parent request and the point in time when the effect occurred.

Inventory Clerk uses the approved request to execute stock work. Execution posts the signed movement, changes lot on-hand, marks the request Executed and writes a Recorded operation receipt. The source effect key prevents a repeat call from posting the same request twice. Inventory Supervisor can reverse a posted movement by creating a compensating movement. The original remains available for audit, and a repeat reversal returns the existing compensation.

How the work is organized

  • Hold only free stock. Existing Held reservations reduce eligible lot availability.
  • Post a signed effect. A movement changes lot on-hand only when executed.
  • Correct by compensation. Reversal leaves the original movement in the ledger.

What to agree during setup

Agree which stock requests need a reservation before execution. Decide who checks the lot and when a hold should expire. Train staff to read on-hand quantity together with active Held reservations. A lot with quantity on hand may still be unable to satisfy a new request. Choose a procedure for Failed operation receipts so the same blocked work is reviewed before another attempt.

Agree what constitutes a stock reversal and who may ask the supervisor to perform it. The reversal should identify the posted movement being compensated and the lot balance to correct. Decide how staff investigate a difference between authorized request quantity and posted movement total. Reconciliation writes a Verified receipt when totals match and a Failed receipt when they do not.

Check the handoff on an actual case

An approved request needs 12 units. The clerk finds an Available lot with 20 on hand and another Held reservation for four. The reservation action holds 12 and records success. Execution posts the movement, updates the lot and marks the request Executed. An accidental second execution call uses the same source effect key and leaves one posted effect. Inventory Supervisor compares the posted total with authorized quantity and records verification.

If the movement was made for the wrong quantity, Inventory Supervisor reverses the posted entry. A compensating movement corrects the lot balance and links back to the original. The auditor can see both entries and the request. Staff then use the request correction path for any change in authorized quantity instead of rewriting the earlier posting.

What your team sees

  • Posted Movements — Read posted stock effects by request and lot.
