What you can do
Keep a handling unit identifiable
The handling-unit register gives warehouse staff a place to identify a pallet, tote or license plate. Each record carries its own code, the item and quantity it holds, its location, custody owner and status. When a unit moves from staging to a load, staff can see who has custody before deciding what record needs attention. A linked stock request gives the unit operational context without replacing its identity.
A custody status is a physical operating label. Available, In Transit, Loaded, Staged, Held and Damaged describe where the unit stands. A posted movement adjusts the lot balance after approved request execution. Inventory Clerk maintains the unit record. Inventory Supervisor reviews the request that authorizes a stock effect.
How the work is organized
- Identify the unit. Record the pallet code, item and quantity before a handoff.
- Keep custody visible. Update owner, location and status when the physical handoff is recorded.
- Connect authorized work. Link the unit to its request when stock work belongs to that request.
What to agree during setup
Agree a pallet-code convention that staff can read from a label and enter without ambiguity. Decide who maintains the custody owner text when a unit crosses a dock or yard boundary. Name the locations used for staging, storage and departure, and decide which staff may edit handling units. Align the item unit with the quantity shown on the unit so that a pallet quantity is clear to the person checking it.
Agree when the clerk changes a physical status. For example, does Loaded mean the unit is on a load before departure, or only after a dock check? Use one interpretation across shifts. Record how a damaged unit is held for inspection and who decides the related stock request.
Check the handoff on an actual case
A clerk records pallet PL-204 with an item, quantity, storage location and custody owner. It starts Staged while the shift prepares a load. The supervisor reviews the linked request; a decision records the current request revision and a receipt. The clerk records the actual custody owner and marks the pallet Loaded when the floor confirms it is on the load. The stock request follows its own execution path, which posts a movement and receipt for the inventory effect.
On a later check, the auditor can read the pallet’s current status beside the linked request, decision, receipts and movements. If the unit is Damaged, the custody record makes that condition visible to the next shift. Any correction to stock quantity follows the request and movement controls.
