What you can do
Give each stock action a decision trail
A stock request names the item, location, requested units and required date for receiving, moving, reserving or issuing stock. Inventory Clerk prepares it; Inventory Supervisor reviews the revision that will be acted on. Status moves from Draft to Review and then to Approved or Rejected. Approved work can be executed, producing a posted movement and operation receipt. The request stays the parent for later evidence.
The request is the control point for a pallet-related stock operation. A handling unit may point to it, but custody status is maintained on the unit. The request and posted movement establish the inventory quantity change. This distinction helps the team reconcile what happened on the floor with what changed in the lot balance.
How the work is organized
- Prepare scope. Identify item, location, quantity and date before review.
- Review a revision. Inventory Supervisor records a decision with reason and source revision.
- Close with evidence. Execution and reconciliation leave receipts tied to the request.
What to agree during setup
Decide which physical actions require a request and who prepares each kind. Agree how staff identify source and destination locations for moves, using location and counterparty consistently. Set a practical rule for required date and requested units so supervisors see the same meaning on every shift. Train reviewers to check the revision before deciding; the handover action refuses stale decisions.
Agree how a returned or escalated decision is handled by the team. The decision register retains those outcomes, while staff need an operating rule for who reworks the request and when it returns to review. Define who corrects authorized quantity and who cancels a request. The correction action releases held reservations as needed to restore free stock.
Check the handoff on an actual case
A clerk prepares a request for 24 units of an item at a storage location, due Friday. It enters Review with a revision. Inventory Supervisor checks the item, quantity and location, then approves that revision. A review decision retains reviewer and reason. A second action using an old revision is refused. The clerk reserves an eligible lot and executes the approved request. A posted movement changes lot quantity, the request becomes Executed and a recorded receipt ties the action to its parent.
If requested quantity changes before execution, Inventory Supervisor corrects authorized scope and held reservations are released. If work is cancelled, the request moves to Cancelled and held quantity becomes free again. The supervisor can later reconcile the posted total against authorized quantity; a mismatch is recorded as a failed receipt without changing the request.
