What you can do

Make the capacity decision visible

A booking connects a member to a session and records the number of places reserved. Its status separates Requested, Confirmed, Attended, no show and Cancelled visits. The Booking Coordinator should inspect a request against the session’s time, service and available capacity before confirming it. That decision is the point where the studio makes a commitment to the member.

The confirmation command checks the member and session state, reserves places under a session lock and creates the confirmed booking. When the booking has a charge, the same operation creates a pending payment record. An operation key makes a repeated identical request return its original result, while changed input with that key is a conflict. This keeps a retry after a slow response from consuming another place or opening another charge.

How the work is organized

  • Request queue. Review member, session, places and booking date before a reservation becomes a commitment.
  • Capacity check. Compare confirmed places with session capacity at the moment of confirmation.
  • Outcome tracking. Keep delivered, no-show and cancelled bookings distinct for the next operating review.

What to agree during setup

Decide who may confirm a member’s request, what counts as a place and how to handle a request for more places than the session can hold. The Studio Manager should agree how staff resolve a full session and how they offer another time without silently changing the member’s original choice. Confirm that the quoted service price and any plan eligibility are understood before the coordinator commits a paid booking.

A booking number helps staff identify a reservation during a call. Use the member and session links when checking the record, especially when names or appointment times are similar. If a coordinator retries a confirmation because the screen was interrupted, they should use the same operation key. Changing the request requires a new decision and a new operation, rather than forcing the prior key to mean something else.

Check the handoff on an actual case

Open a session with limited capacity and prepare a member request. Have the Booking Coordinator approve a place; inspect the Confirmed booking and any Pending charge together. Repeat the exact command with its original key and check that no extra booking appears. Retry with changed places under that key and expect a conflict. Then attempt to fill beyond session capacity; the extra request should fail while the existing reservation stays intact.
