What you can do

Separate the plan from the enrollment

A membership plan defines a name, price, session allowance and validity period. A member plan links those terms to a particular member and records the enrollment’s start, expiry and state. Keeping the catalog term separate from the enrolled record lets the Booking Coordinator answer which plan a member holds and whether that enrollment is Active, Paused, Expired or Cancelled.

Consider a member who bought a plan for a fixed validity period. The Studio Manager can review the plan’s allowance beside the member’s enrollment dates before a new session is booked. When a confirmed booking is delivered, the delivery command consumes one plan session. The team should review attended bookings beside the member’s plan terms and enrollment dates rather than treat an Active label as a visit history.

How the work is organized

  • Plan catalog. Maintain the price, allowance and validity terms for a sellable plan.
  • Enrollment. Link the member to the selected plan with dates and a current state.
  • Delivery link. Review attended bookings alongside the member’s plan enrollment.

What to agree during setup

Decide who can create or change plan terms and who can pause or cancel a member’s enrollment. Agree how the studio interprets validity dates at the opening and closing of a day. Staff should compare the member’s standing with the member plan’s state because each has a separate lifecycle. The coordinator should know when to ask the Studio Manager about a paused or expired enrollment before promising a visit.

Set a policy for changes to price or allowance after a member has enrolled. Review an existing enrollment before changing its linked plan, so the customer and staff agree on the terms being honored. The studio should also decide how a paid booking relates to plan use; the booking confirmation command creates a pending charge when a charge applies, and the delivery command consumes a plan session. Check the booking and enrollment during a pilot.

Check the handoff on an actual case

Create a plan and enroll a member with an active date window. Show the enrollment in Active Member Plans. Confirm a booking for a session and have an Instructor deliver it. Inspect the booking, attendance and member plan together. Pause a separate enrollment and verify it no longer appears in the active list. Review a member whose enrollment expired so the coordinator knows to resolve the standing before offering plan benefits.

What your team sees

  • Active Member Plans — Check enrolled members, plan terms and expiry dates before offering a visit.
  • Member directory — Distinguish the member’s standing from a plan enrollment’s standing.
