What you can do

Keep the shoot tied to a real photographer

A photo session records the client name, photographer, location, start time and end time for a studio or location shoot. The photographer is a person record linked to a user, which gives the studio a clear answer to who carried out the session. The Producer can use the calendar to see the upcoming shoot schedule and the saved session detail to collect proof selections afterward.

Capture validates the submitted session before it is saved. It resolves the linked photographer person and permitted actor, checks the submitted fields and source evidence, and rejects duplicates or an impossible time interval as one operation. The saved record is returned to refresh linked details. This matters when an assistant retries a capture after a slow connection: the studio should get one attributed session, rather than conflicting duplicates.

How the work is organized

  • Session identity. Client, location and the time interval identify the shoot the team will discuss.
  • Photographer attribution. The photographer must resolve to the appropriate active person and user for authorized capture.
  • Linked selections. Proof choices and print quantities connect to the saved session, so a selection can be traced to its shoot.

What to agree during setup

Agree how client names are entered and how the studio distinguishes repeat shoots for the same client. Keep photographer person records linked to the right users and mark inactive people appropriately. Decide who is permitted to submit session capture on behalf of a photographer and what source evidence that person must provide. The Producer should rehearse a correct capture, a repeated command and a start time after the end time before the team depends on the calendar.

The calendar is a working schedule based on saved sessions. It gives the team the photographer, client, location and time interval. A studio still needs to agree how clients confirm a time and who communicates changes. When a shoot is moved, the team should inspect its linked proof selections before editing the session to avoid confusing which images came from which date.

Check the handoff on an actual case

A portrait client is booked at a studio location. The Photographer submits the client name, location, start and end time through session capture. The workflow verifies the photographer’s active person record, the actor and the source evidence, then saves the session. The Producer opens that record from the calendar and confirms the displayed time and photographer. Later, the Content Producer records the client’s chosen image references against that same session. If the original submission is repeated, the capture path rejects a duplicate rather than creating a second shoot.

What your team sees

  • Upcoming Sessions — Future shoots with client, photographer, location and time.
  • Photo Sessions Calendar — The same saved sessions placed on a calendar for schedule review.
  • Print Ready Selections — Selected images and print quantities attached to sessions.

Follow the work through

Use session capture before proof selection. The roles page helps the team rehearse access.
