What you can do
Make completion traceable
Attendance identifies the learner and class session and records Present, Absent or Excused. Assessments belong to courses and set a maximum score. Each assessment result links an assessment and learner, stores the score and submission date, and carries a state from Submitted to Graded to Reviewed. These records give the Academic Reviewer evidence to inspect before an active enrollment is completed.
How the work is organized
The Instructor records one attendance entry per learner and session. For an assessment result, the Instructor checks that the score is within the assessment maximum before grading. The Academic Reviewer confirms the graded result. The Education Administrator then checks the learner’s active enrollment before completion. A duplicate request for the same learner and session or result should return the accepted record rather than producing competing outcomes.
- Match the session. Confirm the learner, course and meeting before saving attendance.
- Check the score. Compare the entered result with the assessment maximum and its course.
- Review before completion. Treat Graded and Reviewed as different stages of evidence.
What to agree during setup
Agree when attendance is due and who can correct an entry. Define the assessment score range and who reviews a graded result. Choose a pilot course with a delivered session, a submitted result and an active enrollment. Include a score above the maximum and a repeated learner-session pair in the rehearsal; both should be refused without changing an existing outcome.
Check the handoff on an actual case
A learner attends a delivered class. The Instructor confirms the session and records Present once for that learner. Later, the learner submits an assessment and the Instructor enters a valid score. The result moves to Graded. The Academic Reviewer examines the result and confirms Reviewed. Only after the course evidence is checked does the administrator complete the eligible Active enrollment.
If the Instructor enters a score greater than the assessment maximum, the result should stay ungraded. If the same attendance capture is sent again, the existing pair should be returned. These checks protect the review queue: the Academic Reviewer sees a single result tied to the intended learner and assessment, and the Placement Coordinator can read the cohort’s enrollment state without confusing an unfinished result with completion.
When reviewing a result, compare its learner with the active enrollment and its assessment with the course. The Academic Reviewer can then confirm the particular graded result, rather than relying on a course-level summary. An Absent or Excused attendance entry also needs its session context: it describes one meeting, not the learner’s entire course outcome. Keep these links visible during a completion review so the administrator can identify the correct enrollment.
