What you can do
Keep the learner and drive paired
A student application links one learner to one recruitment drive. Its application date and saved state show where that candidacy stands: Applied, Eligible, Interview, Offered, Accepted or Rejected. The Placement Coordinator prepares the record. The Application Reviewer reads the drive’s criteria and the learner context before moving to the next decision.
How the work is organized
The reviewer advances an application in order. Applied moves to Eligible, then Interview, Offered and Accepted. Rejected is a separate branch that calls for a reason in the review procedure. Each saved transition should preserve the learner-drive pair. Staff should resolve both references and check the application date before creating a record; another application for the same pair should be refused.
- Check the pair. Find an existing application for the learner and drive before a new submission.
- Move one stage at a time. Review the preceding outcome before changing status.
- Record the decision. Use the agreed review procedure when rejecting or accepting a candidacy.
What to agree during setup
Agree who checks eligibility, who records the interview result and who confirms an offer decision. Decide where the reason for a Rejected outcome is retained in the team’s review procedure. Prepare examples of a missing learner, a missing drive, a duplicate pair and an application date after the intended event. Rehearse both the accepted path and a rejection from an earlier stage.
Check the handoff on an actual case
A learner applies for an employer’s drive. The Placement Coordinator selects the learner and drive and records the application date. The Application Reviewer checks the drive criteria and moves the candidacy from Applied to Eligible. After the interview stage is recorded, the reviewer can mark Offered and then Accepted when the learner accepts. The application remains linked to the original drive throughout.
If someone tries to jump directly from Applied to Offered, the reviewer should refuse the transition and examine the missing eligibility and interview steps. If the learner applied twice to the same drive, retain a single application history. A Rejected outcome should be explained through the agreed review record, not turned into a different learner’s application. The decision board then gives the team an honest picture of the drive’s pipeline.
The Placement Coordinator can use the application date to distinguish an on-time submission from a later correction request. The Application Reviewer should inspect the same learner and drive at every step, especially before an offer is recorded. Accepted is the learner’s recorded outcome for that drive; it does not change the course enrollment or assessment result. When an application is rejected, the review procedure should keep its explanation available to the decision owner.
