What you can do
Maintenance work in daily work
Maintenance tasks describe the work, due date, assigned person, site and completion time. Their status moves from Open through Approved and in progress to Completed. An Operations Manager can assign the task to a People record and approve it for work. A Maintenance Technician sees the assigned task, performs the site work and records completion. This is a practical response record for site events and other maintenance needs.
The assignee is a person connected to a user account. That relationship lets the team identify the technician’s account while the manager checks due work by site and assignee. A due date helps prioritize the queue; it does not prove that a task was carried out. Completed at documents when the work finished. Staff should check that the site and task description describe the intended response before approval, particularly when several events happen close together.
How the work is organized
- Assignment. Keep the task, site, due date and named person together for the technician.
- Work status. Distinguish Open, Approved and in progress tasks during shift handover.
- Completion. Record when the technician finished and inspect the event separately when the task followed an outage.
What to agree during setup
- Assignment. Match active personnel to the site and make the task description specific enough for the next shift.
- Approval. Decide who authorizes work to move from Open to Approved and what the technician should check first.
- Completion. Have the technician record the actual completion time and let the manager inspect unresolved site events.
Check the handoff on an actual case
An outage event leads the manager to assign an inspection task at the same site. The task has a due date and a named technician. The manager approves the task, and the technician moves it into progress before working on site. After the inspection, the technician records completion time and marks the task Completed. The manager can compare the task with the related operational event before resolving the response. The assigned task view keeps the person, site and status visible in the same queue.
At shift handover, review tasks that are still Open, Approved or in progress. The assignee and due date tell the incoming team who owns the next action. A Completed task should have its actual completion time, so a manager can distinguish finished work from a task whose deadline merely passed. Check the site before handing over a similar task at another facility.
