What you can do

Connect delivered effort to the plan

A team member logs time for a work date, hours and project, and can link the entry to a task. The entry also records whether the time is billable. Project and task hour totals help a manager compare work performed with the original estimates. Team member records carry weekly capacity and assigned estimate hours so a lead can spot a possible overload before assigning another task.

How the work is organized

  • Time submission. A member prepares a Draft entry and sets it to Submitted for the approval workflow.
  • Approval record. Time Entry Approval checks a valid submission, approves it and records the decision and operation result.
  • Workload context. Weekly capacity and assigned estimate hours sit on team members for a manager’s review.

What to agree during setup

Choose when team members submit time and how they distinguish Billable from Non-Billable. Ask them to link a task when the hours belong to assigned work, and always identify the project. Agree how estimates are revised when actual effort changes. The task, package and project have hour totals, but they only help if the team books work consistently.

Decide who checks rejected entries and how quickly they are corrected. The approval workflow requires positive hours and a Submitted entry. It records a failed attempt when those conditions are not met. A manager should not treat a submitted row as approved until the status and receipt reflect the result. For capacity, agree whether weekly capacity means the person’s full available week or an allocated delivery allowance; assigned hours should be interpreted using the same convention.

Check the handoff on an actual case

A developer records hours against an active release project and its implementation task. Give the entry a work date, positive hours and Billable or Non-Billable, then submit it. Time Entry Approval should move it to Approved and write a decision and a successful receipt. The project and task hour totals can then support a discussion about the remaining estimate. Open My Time Entries to let the member check the outcome.

Rehearse an entry with zero hours and one whose status has already changed before the workflow acts. Each approval attempt should be blocked and leave a failed receipt. The Project Manager can use Time Entries Awaiting Approval to find entries still Submitted. Compare the assignee’s weekly capacity with assigned estimate hours before adding another task. The team member record gives the manager the capacity and assignment context for that decision.

What your team sees

  • Time Entries Awaiting Approval — Managers inspect submitted hours before relying on them.
  • My Time Entries — Members see the work dates, projects and status of their own entries.
  • Tasks In Flight — Managers connect current work with booked and estimated effort.
