What you can do

Keep the agreement tied to the unit

A lease links a unit and tenant to start and end dates, monthly rent, deposit and agreement status. Lease Review Inbox helps the Lease Reviewer find agreements ready for a decision. Lease Status Board gives the Property Manager a quick view of Draft, Review, Active and Notice records, while Lease Schedule shows their dates. The lease also acts as the operational reference for comparable sales, so a misplaced unit link affects both property operations and valuation context.

Charges records period amounts against a lease. A charge carries a type, period, due date, amount and status. Posted Charges displays the amount allocated and outstanding balance alongside the source lease. A receipt allocation should point to a charge on a lease for the same tenant as the receipt. The charge’s status is a separate business decision from the lease’s status; an active agreement alone does not mean that every period charge has been posted or paid.

How the work is organized

  • Prepare. Connect the agreement to the intended unit and tenant with dates and rent.
  • Review. Examine an agreement in Review before it becomes Active and the unit is treated as Occupied.
  • Bill. Check the period and amount of each charge before it is posted and allocated.

What to agree during setup

Decide how lease numbers, charge numbers and periods are assigned. Confirm the business rule for activating a lease when a unit is Reserved, Available or already Occupied. Agree who may review an agreement and what evidence they need before making the decision. Check how the monthly rent maps to period charges, including partial periods and any separate Utility, Service or Adjustment charge. The responsible team should know which charge record to correct if a billed amount changes, rather than editing a receipt to make a balance look right.

Check the handoff on an actual case

Create a Draft lease for a known unit and tenant. Enter dates and monthly rent, then move it to Review for the Lease Reviewer. Confirm the unit reference is correct before the reviewer approves it as Active. Inspect whether the unit is marked Occupied and whether the expected rent charge is present for the period. Post a charge and open Posted Charges to inspect its amount and outstanding balance. Try a lease linked to a different unit during the rehearsal; the reviewer should detect the mismatch before any charge or comparable is attached.

What your team sees

  • Lease Review Inbox — Find agreements awaiting the named lease decision.
  • Lease Schedule — Read agreement dates beside tenant and unit.
  • Posted Charges — See billed amounts and remaining balances by lease.

Follow the work through

Rehearse lease activation before billing. Receipt allocation follows a posted charge to its payment.
