What you can do
Keep the decision beside the event
A review decision records the subject type and reference, decision, time, notes and reviewer. Subject types cover service entries, time entries, expenses, milestones and agreements. The configured Service Entry Approval workflow writes a review decision when it approves a submitted billable service line. The reviewer can inspect the recorded result and its time instead of relying only on the current status.
Operation receipts record what an operation attempted and its result. The service approval operation writes receipts for successful and failed checks. Milestone invoicing writes one after checking the approved milestone’s amount and agreement. Marking a monthly billing record Received writes a payment record receipt. Each receipt has an operation type, reference, occurrence time, result and actor. A failed receipt matters because the business record can remain in its earlier status.
How the work is organized
- Review decision. A decision and subject reference trace the service approval result.
- Operation receipt. The outcome shows whether the app completed a billing or approval action.
- Attachment. A file can be linked to a record with its kind, URL, upload time and engineer who added it.
What to agree during setup
Decide what a review note needs to contain for a returned or rejected subject. Keep the subject reference consistent so a manager can trace it back to the right record. For attachments, choose how the team will name contract, statement of work, receipt and deliverable files. Confirm that people with access to the record can also open its file URL. The attachment’s parent table and record identifier should point to the actual subject, not a nearby client record that happens to be convenient.
Assign a clear owner for reading failed operation receipts. Service Reviewer should follow failed service approvals; Billing Specialist should follow failed milestone invoice attempts. Finance Manager can inspect payment receipt outcomes during reconciliation. A receipt documents an event, so the team should correct the source record and rerun the operation when appropriate rather than changing a failed result into a success by hand.
Check the handoff on an actual case
Submit a billable service line with positive hours and an agreement. The submission moves it to Approved; Service Reviewer checks the decision row and successful operation receipt. Then submit a line without an agreement. The failed receipt should identify the attempt while the service entry stays Submitted. Correct the agreement and resubmit the line. Compare the timestamps and references to explain what happened in order.
For a billing case, approve a milestone with its amount and agreement and inspect the invoice receipt. Link a monthly billing record to it, mark that record Received after payment confirmation and inspect the payment receipt. Add a deliverable attachment to the milestone record and confirm that its parent identifier and URL lead to the intended file. These checks make the evidence useful during a real client question.
What your team sees
- Milestone Billing Exceptions — Billing events whose status calls for a receipt and source check.
- Approved Not Invoiced — Reviewed service lines still awaiting billing follow-up.
- Payments Overdue Or Disputed — Collection records needing a documented resolution.
