What you can do
Milestone billing in daily work
A go-live milestone belongs to an engagement and has an owner, due date, amount and deliverable summary. Its status separates work pending review from an approved billing decision, invoiced milestone and paid outcome. Billing readiness, payments received and amount outstanding help the billing manager compare the contract event with its collection record.
An approved milestone with an amount and engagement can be moved to Invoiced by the configured workflow, which also creates an operation receipt. If either required input is absent, the milestone stays Approved and the receipt records failure. Milestone billings track invoice number, amount, due date, payment method, paid date and collection status. Marking a billing Received creates a Payment Record receipt.
How the work is organized
- Commitment. Link each go-live milestone to its engagement, owner, date and amount.
- Invoice check. Follow an Approved milestone through the guarded move to Invoiced.
- Collection. Keep the billing’s invoice details and Received status beside its milestone.
What to agree during setup
- Milestone authority. Name who approves the billing decision and checks its amount.
- Invoice identity. Agree how invoice numbers are assigned and checked.
- Collection follow-up. Assign ownership of overdue and disputed billings.
Agree a representative implementation for rehearsal. Use the same client and engagement across delivery, service review and billing. Keep the person who enters a record distinct from the person who makes the business decision when the team requires that separation. Make the ownership rule clear before a busy billing period, because a status alone does not explain who should take the next action.
Check the handoff on an actual case
Use a go-live milestone with an amount, engagement and due date. Let the billing manager review its deliverable summary and approve the billing decision. Confirm the invoice workflow moves it to Invoiced and records the operation result. Create the corresponding billing record with its invoice number and due date. After payment is recorded as Received, inspect the Payment Record receipt and the milestone’s payments received and outstanding amount. Then test a milestone without an amount: it should remain Approved with a Failed receipt for correction.
The reviewer should open the source record behind each amount and compare it with the engagement. If a correction is needed, keep the earlier outcome visible and explain the new one in the appropriate decision or operation record. A manager should be able to identify the client, the responsible person and the next action without reconstructing the history from messages.
