What you can do
Keep the manufacturing context beside the inspection
A Production Inspection Lot ties an inspection to a work order reference, product code and lot number. It also records sample size and lot size. The record gives reviewers a way to understand which production scope was sampled when they read inspection results and later defect observations. The operational record reference leads back to the selected inspection.
The lot capture workflow validates these values before saving the record. It checks the inspection link and the work order, product and lot identifiers, then the sample and lot sizes. Inspectors should use identifiers agreed with production so that someone reviewing a defect weeks later can locate the corresponding work order outside the quality app.
How the work is organized
- Select the inspection. The inspector chooses the inspection that represents the sampled scope and checks its subject reference and inspection type.
- Enter the production identity. The inspector records the work order reference, product code and lot number used by the plant.
- Record sample context. The inspector enters sample size and lot size before saving, giving the reviewer the denominator behind the inspection evidence.
A lot can be read alongside the inspection, but it remains its own record. This matters when a production scope has more than one observation. The shared lot reference connects those observations to the same work order and product identity without retyping that context on every defect.
What to agree during setup
Agree the format of work order references, product codes and lot numbers with the production team. Decide who may create the lot record and who checks that the sizes correspond to the sampled scope. Make a small reference set for rehearsal: a real work order identifier, a product code, a lot number and the inspection it belongs to.
Where production execution sits in another system, arrange how inspectors will obtain the identifiers. The quality record stores the references; a connection to the production system is a setup decision. Agree how errors in an identifier will be corrected before reviewers rely on the lot trail.
Check the handoff on an actual case
Use an in-process inspection of a named work order. The inspector selects that inspection, enters the work order reference and product code, identifies the lot, and records the sampled and total sizes. The workflow should save a Production Inspection Lot linked to the inspection. The reviewer can then open the inspection, find the lot and compare its scope with the checks being reviewed.
Repeat the exercise with the wrong inspection link or an omitted size. The capture should ask the inspector to correct the record before saving. Then add a defect observation to the saved lot and follow its link back to the inspection. This checks that the quality team can trace an issue from a specific sampled lot to the decision on the inspected scope.
What your team sees
- Production Inspection Lots — Work order, product, lot and sample details tied to an inspection.
- Defect Observations — Defect detail attributed to the selected lot.
Follow the work through
Use lot and defect capture to rehearse the record trail. The related inspection review shows where that trail informs a decision.
