What you can do

Keep supporting material connected

An evidence document belongs to an imaging order and can carry an attachment, document date and external reference. The verification selection and named verifier tell the team whether the material has been checked. This is useful when an external receipt, referral document or other supporting item arrives after the order was created. The operator can find unverified material before asking for review.

Follow-up actions turn an exception into owned work. Each action has a title, source order, assigned person, due date, status and eventual resolution. Open and in progress work stays visible until a real resolution is recorded. Cancelling an action is a distinct outcome from completing it. The action stays attached to the order so report reviewers can see the operational context.

How the work is organized

  • Attach to the order. Give each document its source order, date and external reference before review.
  • Verify the material. A named person checks the attachment and records whether it is verified.
  • Own the exception. Assign an action, due date and resolution; leave cancelled work distinct from completed work.

What to agree during setup

Decide which supporting documents require verification before independent review and who may verify them. Agree how the team matches an external reference to the order and how a wrong attachment is corrected. Set a due-date rule for follow-up actions and a clear reason for cancelling one. Rehearse how an operator finds an unverified document and how the reviewer sees its verifier.

Check the handoff on an actual case

Suppose a report is ready but an external evidence document has not been verified. The operator attaches it to the correct order and assigns a follow-up to a named person. The verifier checks the document against its reference and marks it verified. The assignee records the resolution and completes the action. The reviewer can then examine the document, the person who verified it and the order revision. If the evidence belongs to another order, it should be corrected before release.

Check the document’s source order and external reference before moving the case to review. The reviewer should be able to see the named verifier and whether the document is marked Yes or No. A completed follow-up needs a resolution and completion date; an action still Open or in progress remains with its assignee. If the material belongs to another study, fix its source link and retain the earlier review trail.

What your team sees

  • Unverified Evidence Documents — Find attached material waiting for a named verifier.
  • Open Follow Up Actions — Work through unresolved actions by due date and assignee.
  • My follow-up actions — See actions assigned to the current person.
