What you can do

Keep performance tied to the request

An imaging order moves from Scheduled to Performed when the examination actually happens. The operator records the completed exam count and completion date alongside the accession number, DICOM study identifier and PACS reference. These identifiers connect the operational order to the imaging systems and to the eventual report. Keeping them on the same order reduces confusion when a patient has more than one examination.

An execution attempt has its own operation key, attempt number and outcome. A durable run retains the source revision and result reference. Steps keep external receipt identifiers and evidence. Together these records explain whether an operation succeeded, failed or needs reconciliation. A queue entry or a provider reference alone is not proof that the exam was completed.

How the work is organized

  • Confirm the exam. Move the scheduled order to Performed only for the actual examination.
  • Match the identity. Keep the accession, DICOM study and PACS references on that order.
  • Read the attempt trail. Use the operation key, run result and receipt to understand an uncertain response.

What to agree during setup

Agree who records the completed exam count and completion date, and where accession and study identifiers come from. Test the modality’s effective window against the scheduled date. Decide how a failed or Unknown attempt is reconciled before the team treats a provider reference as a confirmed result. Give the reviewer a way to find the run and its steps from the source order.

Check the handoff on an actual case

Use a scheduled order whose exam is completed at the facility. The operator records completion against the existing patient and modality, then checks that the accession and DICOM identifiers identify the intended study. If an external response is uncertain, the run and attempt remain visible for review. The team should reconcile that response before treating the result as confirmed. A repeated attempt stays linked to the same operation key and order, so the execution trail can be understood later.

Check the patient’s order and scheduled date before recording performance. The accession number and DICOM study identifier on the order must match the subsequent report lines. An Unknown attempt remains visible under its operation key until the team has a confirmed outcome. Compare the run’s source revision with the order revision and keep a failed earlier attempt in the trail even when a later attempt succeeds.

What your team sees

  • Imaging Orders List — Inspect planned and completed orders with accession, study and PACS references.
  • Execution exceptions — Find failed runs or responses that require reconciliation.
