What you can do
Set the context before scheduling
An imaging organization defines the facility context for orders, staff and modality definitions. The modality record has a code, name, effective dates, policy reference and active selection. These values help the team choose the correct definition when an exam is scheduled. Staff records identify the operator, reviewer and authorized radiologist involved in a case.
Patients have a separate identity record with an external identity and consent scope. The team must use the appropriate patient record rather than copying patient details into order names or notes. An active selection on the patient and a consent scope help the organization apply its own access and scheduling rules. Source mappings connect fields from an external source to a named modality definition, with a version and effective date for review.
How the work is organized
- Set the facility. Identify the organization and staff associated with the imaging work.
- Date the definition. Keep modality code, organization, effective window and active selection together.
- Review source fields. Tie each versioned source mapping to the intended modality definition.
What to agree during setup
Agree which organization owns each modality definition and who maintains its active and effective dates. Administrator can enter modality records; confirm who maintains organizations, people, patients and source mappings in the operating setup. Check the patient’s consent scope before using the identity on an order. Rehearse a date outside the modality window as well as a valid scheduled case.
Check the handoff on an actual case
For a facility opening a new modality, Administrator enters its code, name, organization and policy window. The operator rehearses an order against that definition with a known patient and assigned staff. If an old mapping points to a different target field, the team reviews the mapping version before bringing in source records. A retired definition should remain identifiable on historical orders; changing current setup should not hide which modality was used earlier.
Check the new modality’s organization and effective dates against the planned order. Its code should distinguish it from an older definition. The operator should find the correct patient and authorized radiologist in the staff context. Review a source mapping’s version, source field and target field before using imported references. A historic order remains attached to the definition selected when its work was recorded.
