What you can do
Keep the operating statement tied to authority
A property statement identifies the property, period end, collected rent and ledger reference for an operating period. It belongs to both an organization and a parent instruction. Its status and revision describe what was prepared, submitted, decided and completed. A finance reviewer uses the supporting evidence and parent instruction to decide whether that exact statement revision can proceed.
The Operations Analyst prepares the statement and submits a frozen revision. The Finance Reviewer checks the property, period end, collected rent and ledger reference against actual supporting evidence. Approval or rejection is a recorded independent decision. Completing the statement follows the confirmed source authority and an operation receipt under the parent instruction. A local approved label alone is not the source of the financial fact.
How the work is organized
- Parent context. The statement points to the instruction that authorized the related property operation and to the organization that owns it.
- Submitted revision. Review is against a frozen statement revision, so later edits do not silently alter what the reviewer accepted.
- Decision and effect. The decision date and the receipt under the parent instruction help the team trace how an approved statement reached completion.
What to agree during setup
Decide where the property identity and period boundaries come from. Name the system that owns the collected rent and ledger reference, and specify the supporting document to attach to the parent instruction. Agree who prepares the statement, who independently reviews it and what confirms source authority before the domain action runs. The finance reviewer should know how to resolve a discrepancy, not merely which button advances status.
Also agree how a rejected statement is corrected. The owner can prepare a new revision and ask for a new decision. Keep the previous decision and source attachment visible so the reviewer can understand what changed. If an already executed instruction needs correction, use the compensating path with a reviewer rather than removing the evidence.
Check the handoff on an actual case
For a property managed by the organization, the Operations Analyst enters the period end, collected rent and ledger reference from the source material, then submits the statement under its parent instruction. The Finance Reviewer checks the amount and reference against the supporting evidence and records approval for that revision. The team verifies the source authority and the receipt for the parent instruction before treating the statement as completed.
Rehearse a statement with a different period end from its attachment. The reviewer rejects it with a reason. Rehearse a changed collected rent value after approval. The old decision must remain attached to its original revision and cannot authorize the changed statement. These tests keep a routine period close from carrying forward an unsupported figure.
What your team sees
- Submitted property statements — Property, period, rent and source reference waiting for finance review.
- Completed property statements — Finished statement records with their decision timing and parent instruction.
