What you can do

Keep the request identifiable

Every instruction has a record number, subject, requested amount, organization, owner, counterparty and revision. The Operations Analyst can keep an early request in Draft while gathering its support. Moving it into Review gives the Independent Finance Reviewer a specific revision to assess. Authorization is a separate decision before the instruction is submitted through an authorized provider. The later Confirmed state belongs to an outcome backed by execution evidence.

The parent instruction is the anchor for attachments, review decisions, provider evidence, property cash flow snapshots and operation receipts. A reviewer looking at a question about an amount should begin with that parent rather than a disconnected report row. A changed request gets a new revision; the old decision remains evidence about the version it addressed.

How the work is organized

  • Prepare. The Operations Analyst identifies the owning organization and counterparty, enters the requested amount, and attaches the relevant source documents.
  • Decide. The Independent Finance Reviewer checks the current revision and records a decision and reason before authorization.
  • Reconcile. The team compares provider evidence with the instruction and leaves an unresolved operation visible until its outcome is known.

What to agree during setup

Agree how your team identifies an instruction and how its subject names the intended investment. Map each organization to its time zone, currency and authorized members. Decide which counterparties can receive an instruction and who maintains their eligibility notes. Name the independent reviewer who can examine each request without approving their own submission.

Also agree what counts as provider acknowledgement, what information must be present in an execution event, and who handles an unknown outcome. The record number and provider reference serve different purposes: one identifies the internal request; the other helps reconcile an external response. Keep both available during a review.

Check the handoff on an actual case

Take an instruction for a property investment with a named counterparty and requested amount. Have its owner attach the supporting case, submit the current revision for review and ask an independent reviewer to record the decision. Check that the reviewer sees the exact amount and revision. Then trace the authorized instruction to a provider reference and the evidence received later. If the provider response is uncertain, the operation receipt should remain in the unresolved work rather than being treated as confirmation. If the instruction changes, check that the earlier decision does not silently cover the revised request.

What your team sees

  • Open Instructions — Work still in draft, review, authorization or provider follow-up, with an owner beside each request.
  • Awaiting Review — Requests at the current review stage, with the owner and revision visible to the reviewer.
  • Confirmed Instructions — Requests whose final state can be checked against provider evidence.

Follow the work through

Start with instruction review and continue to provider reconciliation.
