What you can do
An instruction with a traceable owner
Bank instructions is the operational center. It carries the record number, subject, status, requested date, amount, revision, value date and provider instruction identity. An instruction belongs to an organization, owner and counterparty. Instruction accounts identifies debit and credit account scope and amounts. Treasury Operator checks those references before seeking review.
How the work is organized
- Identify the record. A Treasury Operator preparing a remittance records the intended amount and account directions, then sends the instruction for review. Treasury Approver decides against its current revision. Once authorized, an operator can submit it and retain the provider instruction identity. A later provider event may move the instruction through pending to confirmed. That event and its amount need to match the original instruction rather than merely share a similar date.
- Keep the decision attached. The approver records the reviewed revision and reason before authorization. A changed amount requires another decision on the new revision.
- Follow the outcome. The operator keeps the provider instruction identity and receipt with the submitted record; the analyst checks evidence before accepting confirmation.
The record number lets Treasury Operator and Reconciliation Analyst find the same instruction after the status changes. The linked account lines show what was submitted and help distinguish a correction from the original scope.
What to agree during setup
Agree which operators may prepare and submit instructions and which approver independently authorizes them. Define the provider identity mapping and how the value date is interpreted across time zones. Decide how a changed amount increments the revision and returns to review. Record the ownership of correction requests so an executed scope is handled through a compensating decision.
Treasury Manager should assign the instruction owner and the independent approver for each organization. Rehearse a stale revision, a returned decision and a provider response with a different amount. Retain the original instruction and its evidence when correcting an executed scope.
Check the handoff on an actual case
Rehearse a draft with a named counterparty and debit and credit account lines. Inspect the amount and revision at the review step. Submit the authorized instruction and inspect its operation receipt and provider reference. Then introduce a provider event with the wrong amount. It should remain an exception for investigation, while the original instruction and evidence stay traceable.
The next handoff has the record number, reviewed revision, action receipt and provider identity. Repeat the case with a changed amount and confirm that an earlier approval cannot authorize it.
