What you can do

Follow the result after the decision

Operation receipts gives each attempted operation a stable key, action, expected revision, occurrence time and result state. It can hold an external reference, effect references and failure reason. The Control Owner and reviewer can distinguish Pending from Completed, Failed and needs review while keeping the receipt under its parent assessment. The shared parent lets the team inspect a receipt alongside an application while keeping the application status and receipt result distinct.

A completed receipt should have enough effect detail for a reader to understand what actually happened. A failed receipt should preserve the reason instead of being replaced by a successful retry. The expected revision matters when the underlying assessment has changed. Reviewing that value before acting helps the team avoid confusing an old attempt with the current scope.

How the work is organized

  • Operation trail. Each receipt records an operation key, action, expected revision and result state under an assessment.
  • Financial context. Assessment amounts, application deposits and risk-linked ledger or available amounts can be reported on their own defined bases.
  • Exception context. Findings and Retests link back to assessments or risks; their recorded direction, amount, state and provider event reference support follow-up.

What to agree during setup

Define which team member investigates Pending, Failed and needs review receipts and how often that queue is checked. Agree what an effect reference should contain and who confirms it against the connected provider. Decide when a receipt is marked Completed and how a failed attempt is retained. Use a stable operation key for the same attempted action so repeated updates can be recognized.

For reports, define the currency and period basis before adding totals. Assessments and applications both carry USD amounts, but they have different meanings. The organization and risk records also hold currencies. A report should name its population and as-of date, and the reviewer should be able to open the records behind a number. The team can use recorded effective exchange rates for analysis after agreeing the source and conversion policy.

Check the handoff on an actual case

A Control Owner sees a needs review receipt under an assessment whose application is marked Submitted. They compare the operation key and expected revision with the current assessment and look at the failure reason and effect references. The Independent Assurance Reviewer checks the decision record for that revision. If the provider later confirms the same attempted operation, the team records the external reference and reconciles the result. The original receipt remains attached to its parent, so an Auditor can follow what was attempted, what was reviewed and what outcome was entered.

What your team sees

  • Unresolved Operation Receipts — Find pending, failed and review-needed operations with their reasons and parent assessments.
  • Assessment Status Board — Place unresolved work alongside the assessment’s current stage.
