What you can do
Keep the application with its assessment
A retirement application record links to a parent assessment and organization. The Control Owner can record the applicant, submission time, provider application reference, initial deposit and revision. Its status can be Draft, Submitted, Approved, Rejected or Completed. The parent link lets the team read the application alongside the assessment period, owner and supporting documents that explain why it was opened.
The provider application reference is a useful handoff key when the team talks with an external provider. Keep the exact reference returned by that provider, and avoid using a person or organization name as the key. The initial deposit is a recorded financial amount; it helps the team discuss the application’s payment context without implying anything about energy volume. Decision time shows when the application outcome was entered.
How the work is organized
- Parent and organization. Each application belongs under an assessment and identifies the organization responsible for it.
- Submission details. Applicant, submission time, revision and provider application reference help the team follow the same application across handoffs.
- Outcome. Status, decision date and initial deposit keep the recorded application outcome and financial context visible.
What to agree during setup
Agree when an owner may create a Draft application and what must be checked before it is marked Submitted. Decide who records a provider reference and how to resolve a duplicate or corrected reference. Set a convention for applicants when the submission is made on behalf of a business unit. The Independent Assurance Reviewer decides the parent assessment; the Control Owner records the application outcome from the provider response.
Identify the system that supplies actual registry information for the customer. During implementation, agree how its confirmation will be handed to the team and which record will retain the provider application key. Keep customer discussions of application status distinct from any external registry outcome. A Completed application status should be entered only when the team’s defined completion checks have been performed.
Check the handoff on an actual case
A Control Owner creates a Draft application under an approved assessment for one organization. They name the applicant and confirm the parent assessment before submission. After the application is sent, they record the submission time and provider application reference and set Submitted. The Independent Assurance Reviewer’s earlier decision remains under the parent assessment. When the provider responds, the owner records the application status and decision date. The owner separately checks any operation receipt under the same parent. A rejected application stays visible with its original parent instead of being recreated as an unrelated record.
