What you can do
Record collected cash
Cash receipts represent captured provider evidence for a business partner. The Cash Reconciler checks the provider event identity, received date, amount and verification result before using a receipt against a document. A lease due date or issued invoice provides a reason to expect money; the provider event supplies the collected cash evidence.
How the work is organized
- Provider identity. Preserve the event reference so a replay can be recognized.
- Partner. Match the event to the right tenant or counterparty before application.
- Verification. Use only confirmed receipts when allocating cash to an eligible document.
What to agree during setup
Choose the provider that supplies captured cash events and agree how event IDs and partner identities will map into the platform. Define who checks a disputed event and who can correct a mistaken partner link. Make receipt import repeatable: the same event should lead to one retained receipt, even if the provider resends it. The provider’s own settlement or payout information remains part of that external connection.
Check the handoff on an actual case
Use a partial rent payment from a named partner. The Cash Reconciler confirms that the provider event is verified, records its actual amount and date, and finds the intended posted invoice. Try importing the same provider event again. It should refer to the existing receipt and should not create a second amount available for application. If the event belongs to another partner, stop before allocation and investigate the identity mapping.
Use one provider event to test the full handoff. Start with the event’s partner and amount, then compare it with the internal business partner record and the posted invoice. If the event contains an unfamiliar partner identifier, hold it for investigation instead of guessing from a similar name. Keep the original received date when the event is imported later, because the receipt date and processing date answer different questions. After import, the reconciler should be able to find the event by provider identity and see whether any amount has been applied. The operations manager should be able to trace a failed attempt without creating another receipt.
