What you can do

Follow the rent obligation

A rent schedule carries a lease reference, due date and expected rent amount for an accounting document. The Accounting Preparer selects the parent document and organization before submitting the schedule. This keeps the amount due visible alongside the eventual invoice without treating an expected charge as money received.

How the work is organized

  • Lease context. Record the lease reference and due date on the schedule linked to the relevant document.
  • Revision. Submit a complete version for review so the decision refers to the same rent amount the preparer saw.
  • Decision. The Accounting Reviewer records the outcome and reason against the parent document.

What to agree during setup

Agree how a lease reference maps to each business partner and document. Decide who prepares schedules for each organization and what evidence supports the amount. If the rent amount changes, the team needs a fresh review of the changed revision. The provider identifier belongs with the schedule when the provider evidence is available; it does not by itself confirm a payment.

Check the handoff on an actual case

Take one lease with a due date this month and attach its schedule to the intended invoice. Have the Accounting Preparer enter the expected amount and evidence. The Accounting Reviewer compares those details, records a decision and explains any rejection. Then bring in a verified receipt and confirm that its separate cash application points to the posted document. The due amount and applied cash should remain easy to distinguish when a tenant pays only part of the charge.

A useful review starts with the exact parent charge. The reviewer should see whether that document names the same organization and counterparty as the lease work. When a lease is renewed, keep the new due date and amount on the new schedule rather than altering a previously decided case. The team can then explain why a particular invoice carried its original rent amount. If the tenant pays early or in installments, the schedule remains the expected amount; verified receipt records show what came in. During setup, ask the preparer to find a rejected schedule, read the reason and identify the revision that needs correction. Ask the reviewer to locate the evidence that supported the final decision.
