What you can do
Follow acceptance through to the external result
An accepted customer offer is ready for an order handoff when the downstream connection has been configured. Quote Specialist requests the action against the accepted quote revision and its preserved lines. The operation receipt records what was requested and the result reached, allowing the team to distinguish waiting work from confirmed completion.
The receiving order system remains responsible for its order processing. Set up that connection with the business before expecting an external order reference. If the connection is not configured, the handoff remains Pending. A quote can therefore remain Accepted while the operational follow-up is still unresolved.
The handoff has a stable identity based on the quote and revision. Repeating the same request should recover the same outcome rather than create another order. This matters when someone retries after a delayed response: a missing response in the moment does not settle whether an external effect occurred.
How the work is organized
- Accepted source. Quote Specialist checks the accepted revision and its lines before requesting handoff. The pricing decision and customer acceptance stay available for the downstream team.
- Connection readiness. The configured order connection supplies the external effect and reference. The handoff records Pending when that connection is absent instead of making up a successful destination.
- Outcome tracking. Operation receipts retain the expected revision, action and effect references. Auditor can compare a completion claim with the quote and the evidence of the receiving result.
What to agree during setup
Choose the order system that will receive accepted offers and identify its connection owner. Agree how the quote number and revision map to the receiving record and what reference confirms that the handoff succeeded. Decide who investigates an uncertain response before a user requests another action.
Define which customer and pricing details the destination needs. Retain the meaning of the accepted USD amounts when mapping them into the destination’s currency or pricing conventions. Any conversion or additional order handling belongs to the connection setup and must be rehearsed with the receiving system’s owner.
Check the handoff on an actual case
Take a valid accepted quote for a customer bundle. First rehearse the request without the order connection. The quote remains Accepted, the receipt remains Pending, and no external reference should suggest that an order already exists. Quote Specialist can identify the waiting action from its receipt.
Then connect the agreed destination and repeat the controlled case with its expected revision. Inspect the actual order reference and persisted effect before considering the handoff complete. Repeat the same request and verify that the result leads back to the original effect. Finally, use a stale revision and confirm it cannot release a different version of the offer. These cases establish the handoff boundary before the team relies on it during a busy promotion.
