What you can do

Keep money and case outcomes distinct

A fee receipt records when money was received, its amount, reference and case. Its status distinguishes Pending, Confirmed and Refunded. The finance officer uses that state to reconcile what has been received for a case. A confirmed receipt does not decide whether information can be released; the reviewer records that judgment separately. The manager can inspect the fee state while looking at the associated case.

The Business Overview shows caseload measures, status distribution, recent cases and specialty backlog under a shared filter. It is a place to notice where work is accumulating. A manager seeing several applications close to due date can open the overdue list and check the assigned officers. The specialty backlog can be read beside the statutory deadline list so old requests do not disappear behind newer cases.

How the work is organized

  • Receipt. Record amount, date and reference against the right case.
  • Reconciliation. Move the fee state to Confirmed or Refunded when the finance officer has the basis to do so.
  • Oversight. Use the filtered overview and saved lists to identify work needing attention.

What to agree during setup

Decide who confirms a fee, how references from an external payment process are checked and when a refund is recorded. Set a daily owner for overdue and statutory deadline lists. The manager should agree how an appealed case is followed after the initial outcome, including how a fee issue is explained to the applicant.

Check the handoff on an actual case

Choose a case with a pending receipt. The finance officer compares the reference and amount with the external evidence before confirming it. The manager sees the case and its status without treating the receipt as the decision. If the payment is refunded, the receipt’s state should reflect that change. Check that the overview’s case state, the open-case list and the fee list remain understandable together.

The receipt reference is the bridge to the payment evidence the finance officer checks. If the external payment record is unclear, leave the receipt Pending and investigate it with the case number. A refund should be distinguishable from a pending payment in both the fee list and any totals the manager reads. That difference matters when explaining money received for a case that has a separate review outcome.

The manager should use the overview as the start of a conversation about workload. Open the underlying cases when a status distribution changes unexpectedly. A recent-case panel can help identify newly assigned work; the specialty backlog points to requests with their own statutory dates. The officer’s case action and the reviewer’s decision remain the source for explaining an individual outcome.

What your team sees

  • Unconfirmed Fee Receipts — Find receipts still waiting for confirmation.
  • Fee Receipts List — Inspect fee amount, reference, case and state.
  • Open Cases — See the active caseload behind the overview.

Follow the work through

Fee reconciliation follows the receipt. Decision and appeal follows the case outcome.
