What you can do

Make the approved amount clear at the finance handoff

An Approved application carries the learner, award and approved amount that Finance Officer needs to review before recording disbursement. The next permitted application state is Disbursed. That state tells the scholarship office how the application has been recorded after the agreed finance handoff; payment execution and confirmation come from the system or team responsible for moving the money.

Scholarship Officer can then follow the application through its final recorded state while Scholarship Reviewer retains the context of the amount decision. Finance Officer should be able to identify the learner and award directly from the application and explain which confirmation supports the update. A status change should have a clear operating meaning for everyone using the register.

How the work is organized

  • Approved scope. Start from an application that has reached Approved through the permitted review path. Check the learner, award and recorded amount before arranging the next finance action.
  • Confirmation handoff. Use the agreed payment or finance source to establish that the disbursement outcome can be recorded. Name the person responsible for checking that confirmation and resolving a disagreement.
  • Recorded outcome. Advance the eligible application to Disbursed through the authorized action. Review the saved record with the scholarship team so the office can explain its status without relying on an informal message.

What to agree during setup

Agree what evidence allows Finance Officer to record Disbursed and where the team finds that evidence. If payment is made through a finance or banking system, set up the reference and confirmation handoff there. Decide how the team responds when a payment is delayed, returned or disputed before recording the application outcome.

Define the procedure for changing an approved amount before disbursement and for correcting a status entered in error. Keep the learner’s fee records under their own accounting procedure. When support is applied toward a charge, Finance Officer needs an explicit allocation and reconciliation handoff with the owning system. Approval of a scholarship should not be interpreted as an unexplained change to a learner’s paid fee amount.

Check the handoff on an actual case

Use an Approved application for 800 in the program’s agreed currency. Finance Officer checks the learner and award, then obtains the confirmation required by the operating procedure. Record the authorized transition to Disbursed and ask Scholarship Officer to locate the application on the status board. Both people should be able to explain why that record was updated.

Repeat the rehearsal while confirmation is still outstanding and confirm the team leaves the application at its appropriate pending operating step. Try an application still in Review and verify that the disbursement action cannot skip the required approval path. Finally, inspect the learner’s fee balance before and after the recorded outcome. Any actual fee allocation must be explained by its separate finance handoff, not inferred from the application status alone.

What your team sees

  • Approved for Disbursement — Approved applications whose learner, award and amount are ready for the finance handoff.
  • Scholarship Application Board — Approved and Disbursed applications in the context of the full application flow.
  • Fee Follow-up — Learner charges that Finance Officer may need to reconcile separately.
