What you can do

Give the finance discussion a clear learner balance

A fee record belongs to a learner and contains a description, due date, amount, paid amount and status. Draft, issued, partially paid, paid and voided states distinguish the charge’s recorded position. Finance Officer can use that information to discuss what the learner still owes and which entries need attention before the next finance handoff.

Scholarship applications carry their own approved amounts and disbursement states. Reading the fee and application context together can help Finance Officer explain a learner’s situation, while each record keeps its distinct purpose. The charge’s paid amount should be maintained through the agreed payment and allocation procedure. A scholarship decision becomes relevant to the fee balance only through that explicit handoff.

How the work is organized

  • Charge identity. Use a description the finance team can recognize and select the intended learner. Check the due date and amount before moving a charge into the issued-work discussion.
  • Payment position. Compare the recorded paid amount with the charge and read its current status. A partially paid fee needs a different follow-up from a Voided entry or a charge already recorded as Paid.
  • Scholarship context. Read the learner’s approved application when discussing available support. Confirm how any actual payment or allocation is handled by the responsible finance process before changing the charge record.

What to agree during setup

Agree who maintains fee amounts and which source confirms paid amounts. Decide how issued charges, partial payments and voids are reviewed before their status is updated. Explain the program’s monetary convention to the scholarship office and the finance team so an approved award amount and a learner charge are compared on the intended basis.

Define the connection or operating handoff used when scholarship support settles part of a charge. The team needs to know which system owns allocation, how corrections are recorded and who reconciles the result. Also decide how to read a due-date list that contains already paid or voided entries. The state of the charge must remain visible during follow-up.

Check the handoff on an actual case

Prepare an Issued fee of 1,200 for the bookkeeping learner and record a confirmed paid amount of 400 through the agreed finance procedure. Finance Officer should be able to explain the remaining 800 and the appropriate partially paid state. Compare that charge with the learner’s application for an approved scholarship amount of 800.

Record the application’s confirmed disbursement outcome and inspect the fee again. Do not assume that the fee balance has changed merely because the application is Disbursed. If the operating arrangement applies the support to the charge, complete and reconcile that separate allocation before updating the fee’s payment position. Rehearse a voided charge and a past-due paid charge as well, so the team does not request payment from the learner on the basis of a date alone.

What your team sees

  • Fee Follow-up — Issued and partially paid charges with due dates and payment amounts available for review.
  • Learner Fees Due — Charges whose due date has arrived, with status retained for the finance decision.
  • Approved for Disbursement — Scholarship amounts awaiting the separate confirmation and recording handoff.
