What you can do

Put the application in the right learning context

A scholarship decision starts with a recognizable learner and a course enrollment. The learner record carries a number, name, contact email, admission date and status. The enrollment links that learner to the intended course, with its own state and enrollment date. Administrator can then review a request against the actual course instead of relying on a free-text description in an application.

Enrollment approval checks learner eligibility, course state, capacity and duplicate enrollment before activating the place. The learner becomes Enrolled and the course’s class sessions are returned for the operating handoff. Scholarship Officer uses that enrollment context when preparing the award record and the learner’s application. Keeping those links clear matters when a learner participates in more than one course.

How the work is organized

  • Learner identity. Use the learner number and name to locate the intended person. Keep the admission date and current learner status useful to Administrator when reviewing an enrollment request.
  • Course place. Link the request to the course that will actually be attended. Review the course’s capacity, dates and current state before committing the place, and check for an existing enrollment for the same learner.
  • Scholarship context. Give Scholarship Officer the correct enrollment when an award is prepared. The application should lead back to the learner and course the reviewer expects to consider.

What to agree during setup

Agree who maintains learner identity and how likely duplicate learners are handled before importing applications. Decide the course states in which enrollment is allowed and how occupied places are counted against capacity. Review the rule with the people who maintain the teaching schedule, especially when learners withdraw or a course changes dates.

Explain how Administrator and Scholarship Officer hand over an approved course place. A learner may have several enrollments, so the award’s linked enrollment must be selected deliberately. Agree how changes to learner status affect an existing application and which person reviews a mismatch. Keep those decisions explicit when the scholarship office and the teaching team maintain different parts of the record.

Check the handoff on an actual case

Use a learner requesting a place on a bookkeeping course. Administrator checks the learner identity, the open course and its remaining capacity before approving the enrollment. Inspect the resulting Active enrollment and the learner’s Enrolled state, then identify the returned class sessions. Scholarship Officer should be able to choose that enrollment when preparing the corresponding award context.

Repeat the request for the same learner and course and confirm the duplicate check stops another place from being created. Rehearse a course at capacity and a course whose state does not allow enrollment. Finally, give the learner another course enrollment and check that the scholarship handoff still selects the intended one. This exposes a wrong course link before it reaches the eligibility decision.

What your team sees

  • Enrollment Requests — Requested course places ready for Administrator’s eligibility and capacity decision.
  • Active Enrollments — Approved and active enrollment records for the scholarship and teaching handoff.
  • Learner Progress — Learner identity and current participation state alongside the admission date.
