What you can do
Keep the learner's course evidence understandable
Instructor records attendance against a class session and learner, using Present, Absent or Excused. An assessment result connects the learner to an assessment with its score, submission date and review state. The linked assessment supplies the maximum score and course, so the teaching team can interpret the result in its proper context.
Attendance is saved uniquely for each session and learner. A score is validated against the assessment’s maximum before the result moves through grading and review. Assessment Reviewer is verified through the staff user identity before reviewing results. The enrollment completes only after the course’s required results have reached Reviewed, giving Administrator a specific learning handoff to inspect.
How the work is organized
- Teaching schedule. Use the course and its class sessions to identify when and where the learning activity takes place. The instructor’s assigned courses and session dates help the team select the right context before recording attendance.
- Attendance record. Record the learner’s state for the actual session. When a correction is needed, use the existing learner-session record so a second entry does not distort the attendance discussion.
- Reviewed result. Compare the entered score with the linked maximum, then let Assessment Reviewer perform the review. A Graded result still needs that decision before it can contribute to completed course scope.
What to agree during setup
Agree who maintains session dates, rooms and course assignments, and how an instructor corrects an attendance mistake. Set the assessments expected for each course and explain the difference between entering a score and reviewing it. Review the staff-to-user mapping so the person making the decision can be identified by the action.
Scholarship Reviewer should use this evidence according to the award’s written criteria. Agree which learning facts matter and at what point they are considered. Keep the teaching completion rule separate from the scholarship amount decision: a reviewed result can inform the award discussion without making the award or changing its disbursement status automatically.
Check the handoff on an actual case
For the bookkeeping course, Instructor records the learner as Present for a scheduled session. Repeat the learner-session entry and confirm that only the intended attendance record remains. Correct a rehearsal entry from Absent to Excused through the agreed procedure and inspect how it appears in the exception list.
Create an assessment with a maximum score of 20 and submit a score of 16. Grade the result, then ask the authenticated Assessment Reviewer to review it. Try a score of 25 and confirm validation stops the invalid result. Leave another required course result unreviewed and check that the enrollment stays open. Once all required results are Reviewed, inspect the matching enrollment’s completion and explain the evidence to Scholarship Reviewer if the award criteria call for it.
