What you can do
Prepare the decision
The submitted purchase request carries a revision, amount, owner, supplier and required date. Its lines show what is being bought. A review decision record identifies the source revision, reviewer, decision, decision time, reason and operation key. These details let the Trade Reviewer record a decision in context rather than leaving an unexplained status change.
How the work is organized
- Review target. Read the purchase revision and lines before entering the decision’s source revision.
- Human decision. Record Approve, Reject or Return with reviewer, time, reason and operation key on the linked purchase.
- Follow-up. Compare an older decision with the current request revision before treating it as authority for an order.
Set a clear handoff between Buyer and Trade Reviewer. The Buyer checks the lines and supporting attachments before submission. The reviewer compares the revision on the request with the source revision on the decision, reads the supplier context and records a reason. An Approve, Reject or Return decision should be understandable when someone revisits it after the order progresses.
What to agree during setup
Decide which person can review a Buyer’s request and who updates the purchase status after that decision. A Return decision lives on the review record; the request has no matching Return status. Agree how the Buyer learns what to revise and how the reviewer will recognize the next revision. Check whether a supporting attachment should be Internal or Shared before review.
Check the handoff on an actual case
Run a case where the requested quantity changes after an earlier review. The Trade Reviewer looks at the current revision and line detail, then records a new decision with that source revision and a reason. The Trade Operations Lead checks the decision history before treating the request as approved.
Give the Trade Reviewer both the old and changed purchase revisions. Ask them to identify which decision is current by source revision, then record a reason on the new decision. The Buyer should use that reason to revise the line detail. The Trade Operations Lead checks the decision against the request before an order reference is entered.
For a returned request, the Buyer should read the reviewer reason, revise the specific purchase detail and send the new revision through review. Keep the earlier decision visible so the reason for the new attempt remains clear.
