What you can do

Prepare the demand

Buyer opens a purchase request for an organization, chooses the supplier as counterparty and takes ownership. The subject and record number make the case recognizable in discussion; the required date and requested USD amount show the decision at stake. The buyer adds purchase lines for item descriptions, requested quantities and unit prices. A budget code gives the reviewer another point of reference.

How the work is organized

  • Request header. Keep the record number, required date, requested USD amount and owner together so the Buyer can identify the case.
  • Line detail. Compare each requested quantity and unit price with the amount entered on the request before review.
  • Revision check. Match the reviewer decision’s source revision to the current purchase revision before placing an order.

Keep lines on the same request and review the requested amount with the line detail. A revised request has a revision value, and the independent decision belongs to a source revision. If the buyer changes demand after a review, the team should inspect which revision was decided before relying on an earlier approval.

What to agree during setup

Choose which Buyer owns the request, who can revise its lines after submission and when the Trade Reviewer must see a new revision. Agree how the requested amount is checked against line prices, since the record has both a header amount and line values. Decide who enters the order reference after approval and who records accepted quantities when goods arrive.

Check the handoff on an actual case

Use an imported component order as the pilot case. The buyer records its requested quantity and required date, links the active supplier, and checks the amount with the reviewer. After an approval, add the order reference. When the delivery arrives, record the accepted quantity and invoice reference on each line, then review the request marked Received.

Ask the Trade Reviewer to open the imported component request from its record number, read its lines and state which revision was decided. Then let the Receiving Clerk compare the accepted quantity with the original request. A different accepted quantity should stay visible on the line, with its invoice reference, before the purchase is marked Received.
