What you can do
Start with a bounded request
An Inventory Coordinator opens a stock request for a specific item and storage location. The request states the quantity, required date, owner and counterparty location. That scope gives the Inventory Reviewer something concrete to inspect before a reservation or movement is made. A request for drums at one site should never become a general approval to move the same item to any location; the operator selects the eligible lot when reserving or posting.
The request moves from Draft into Review when its supporting information is ready. The owner can see the work that belongs to them, and the reviewer can see the review queue. Approved scope is then available for stock operations. Executed work remains linked to the original request so that later questions can follow the decision, movement and receipt together.
How the work is organized
- Identify the stock. Choose the stocked item, source location and, where relevant, counterparty location before asking for review.
- State the need. Record the requested units and required date so the operator can compare the request with eligible stock.
- Keep the owner visible. Assign the responsible team member and retain the organization context throughout the work.
What to agree during setup
Agree which team member owns requests at each site and who may review them. Decide how the record number is issued and how a correction will relate to the original request. Set a clear rule for when a request enters Review: the hazard class, SDS revision and storage location should be ready for an independent check. A decision on one revision should not silently carry over to a changed quantity or destination.
A request may be Cancelled before execution or Rejected during review. Keep those records available to explain why work stopped. A later accepted request should have its own identity and decision trail. The operating team should also agree who handles a required date that passes while a check is waiting.
Check the handoff on an actual case
Take one request for a named stock item and destination, then select a lot during stock work. Have the Inventory Coordinator enter the requested units and required date. The Inventory Reviewer reads the hazard check and location eligibility, then records a decision against the request revision. Have the Stock Operator locate the approved request, check lot release and expiry, and trace any reservation or posted movement back to it. Finally, inspect the operation receipt. This rehearsal shows whether the request identity stays intact across the handoff.
