What you can do
Keep a critical-spare reorder decision tied to demand and equipment context
A critical-spare record extends a stock request. It identifies the equipment model, criticality and minimum units for a specific organization. The parent request supplies the item, requested quantity and location context. Its own status and revision allow the reorder decision to be handled independently from the broader request state. A submitted revision is the unit of review; the reviewer should decide on that revision, not on later edits.
The critical-spare reorder operation checks compatibility and demand evidence before recording a decision. The Inventory Reviewer acts independently and chooses approve, reject or return with a reason. A guarded receipt records the operation key, expected revision and result. The reviewer can compare the submitted equipment model with the attachment, read the minimum units against the request, and leave a reason that another reviewer can follow. The receipt gives the team a separate place to inspect the command outcome when a retry or stale revision needs attention.
How the work is organized
- Demand context. Read the linked request and its evidence before deciding whether the minimum is justified.
- Revision boundary. Freeze the submitted critical-spare revision for the decision.
- Decision record. Keep the reviewer, reason and operation key alongside the outcome.
What to agree during setup
Agree who classifies a part as critical and how the equipment model is written. Decide what evidence demonstrates demand for a reorder and how minimum units are maintained. Use a normal reorder and a disputed reorder during setup. Reviewers need enough context to decide without changing the coordinator’s submission themselves. A return should send the case back for corrected evidence and a new revision.
Check the handoff on an actual case
A service team identifies a motor controller needed for a particular equipment model. The coordinator links the parent request, records its criticality and sets minimum units. A previous attachment describes a different controller, so the reviewer returns the first submission with a reason. The coordinator adds the right compatibility record, updates the extension and resubmits. The reviewer approves the new revision. The two decisions remain distinct, and an operation receipt shows the result of the guarded command. The case is auditable without treating the approval as proof that a supplier order was placed.
What your team sees
- Critical spare review board — Critical extensions grouped by their review status.
- Submitted critical spares — Frozen submissions waiting for a reviewer.
- Rejected critical spares — Cases whose decision needs coordinator follow-up.
