What you can do
Bring the part, quantity, location and required date into one request
The request is the operating reference for a spare-part need. An Inventory Coordinator names the subject, part, quantity, base unit, required date and the location involved. The owner identifies who will follow it through. The organization and counterparty location keep the request within the right operating scope. The request status distinguishes a draft from a request in review, approved, executed, rejected or cancelled. Those states make the backlog legible to the coordinator and reviewer without implying that a status alone moves stock.
A service depot needing a replacement pump bearing can open a request for the specific catalog part, identify the depot and its counterparty location, and set the required date. The part reference carries the catalog identity; the requested units express the demand. If the same bearing is also critical for an equipment model, the coordinator can link a critical-spare record and prepare reorder evidence for review.
How the work is organized
- Request ownership. Assign the person who will keep the item, quantity and date current.
- Status separation. Use review and execution states for different decisions, with the request revision visible.
- Linked effects. Keep any reservation, movement, attachment or receipt connected to the parent request.
What to agree during setup
Agree how coordinators choose the organization, location and counterparty for each request. Decide what a meaningful subject should say and who can change the requested units after review begins. Keep the part catalog base unit consistent with the quantity entered on the request. Walk through an urgent repair and an ordinary replenishment, then make sure owners can find both by required date.
Check the handoff on an actual case
A depot coordinator enters a bearing request due Friday. Another coordinator notices that the part reference points to a similar bearing with a different base unit. The owner corrects the draft before submitting it. If the item is marked critical, the related reorder extension carries the equipment model, criticality and minimum units. The reviewer can inspect the exact request revision and supporting evidence instead of trying to reconstruct a conversation. Any later stock record that names the parent request can be traced back to this demand. The coordinator reviews that link and the due date before promising a part to the service team. A reviewer can use the request as context for a critical-spare decision without treating the request status as a stock posting.
