What you can do

Establish the custody context

A consigned item belongs to an organization and has a SKU, name, base unit and lot-tracking setting. A storage location also belongs to an organization and has a code, contact and address. Those records give each request and movement a concrete stock identity and physical place. Inventory Coordinator can choose the item and location when preparing a request; App Administrator maintains their master context.

When an item uses lots, each lot carries a lot code, expiry date, release state and owner reference. A released lot is the starting point for eligible stock work. Pending, quarantined and blocked lots remain visible for review, but should not be treated as interchangeable with released stock. The owner reference helps keep the consigned stock owner clear even while goods are held at another site.

How the work is organized

  • Organization. The legal entity provides the operating scope and currency for its items and locations.
  • Item and lot. The SKU and base unit identify the product; lot code and release state identify a controlled portion of it.
  • Location. The site code, address and eligibility note help the team place the stock and check whether the site suits the action.

What to agree during setup

Set up active organizations first, then active locations and items under the correct organization. Agree how SKU, code and base unit are entered so a coordinator does not create apparent duplicates. For lot-tracked items, decide who records the expiry date and owner reference and who may change a release state after inspection.

A location’s eligibility note is useful only when people agree what it means. Document which sites can receive, hold or issue each consigned item. Decide whether the counterparty on a request represents a second storage site in a movement and how to name sites consistently. Keep those definitions close to the operating team that handles physical stock.

Check the handoff on an actual case

Use one item held at a named customer or partner site. Confirm the item and location point to the intended organization. If it is lot tracked, inspect the lot’s release state and expiry date before using it on a reservation or movement. Compare the movement’s item, lot and location links with the request. A lot code typed as text on a movement should still correspond to the linked lot record.

Then take a stock request for a different site and check that the team can spot the mismatch before posting. The organization, item and location links make that review practical. Auditor can later follow the posted quantity back to the same stock identity and site.

What your team sees

  • Available lots — Released lots with expiry dates, owner references and linked items.
  • Active request board — Current work associated with items and sites.
